Terms and Conditions
Please read these terms before using Cappadocia Hot Air Balloon. They cover bookings, payments, cancellations, weather-dependent balloon flights, transfers, tours, and service partners.
Key Definitions
Important- The Customer: any person or group that reserves and pays for tours, transfers, accommodation, flights or other travel services offered through Cappadocia Hot Air Balloon.
- The Tour: the travel arrangement made up of services operated directly by Cappadocia Hot Air Balloon and/or services booked with independent suppliers.
- Tour Commencement: the date and time when the first confirmed service begins, usually the first airport transfer, tour pick-up or hotel check-in.
- Suppliers: independent service providers such as airlines, hotels, museums, balloon companies, cruise companies and activity operators, each responsible for the performance of its own service.
- Booking Confirmation: the email or document confirming that payment has been received and listing the main reservation details.
- Service Voucher: the printed or digital document presented on site to verify and receive confirmed services.
How Your Contract Is Created
A contract becomes binding between Cappadocia Hot Air Balloon and the Customer when the required deposit or full payment is received and a Booking Confirmation is sent. By confirming a booking, the Customer also agrees to the applicable terms of any independent supplier included in the reservation. Cappadocia Hot Air Balloon remains responsible for the services it operates directly.
Our Role as Travel Organizer and Booking Agent
ImportantCappadocia Hot Air Balloon directly arranges guided tours, ground transport and vehicle services operated under its own organization. For accommodation, flights and cruise services, we act only as a booking agent and the relevant third-party supplier provides the service. We select suppliers with reasonable care, but we do not guarantee the quality, schedule or performance of services operated by third parties; where a dispute arises, we will assist and mediate in good faith.
Prices and Currency
Prices are shown in Euros (€) and are calculated according to the rates available from our partners at the time a quotation is prepared. Until a booking is confirmed, prices may be revised. The Customer is responsible for currency conversion differences, exchange-rate movements and any fees charged by banks or payment providers connected with the chosen payment method.
Flight Booking Conditions
ImportantPassenger details. The Customer must provide passport and passenger information exactly as it appears on the travel document. Any denied boarding, ticket reissue, name correction or replacement ticket required because of incorrect information is paid by the Customer.
Ticket amendments. Costs caused by Customer mistakes are the Customer’s responsibility. If an amendment is needed because of an error made by Cappadocia Hot Air Balloon, we cover the related correction cost.
Taxes and supplements. Airport taxes, fuel surcharges and government charges can change after booking. If this happens, we will inform the Customer as soon as reasonably possible.
Electronic tickets. E-tickets are provided with the flight confirmation and booking reference. A valid photo ID is required for check-in.
Airline disruptions. Cappadocia Hot Air Balloon is not responsible for airline delays, cancellations, missed connections, overbooking, denied boarding, baggage issues, route changes or service-quality problems caused by the operating airline.
Check-in responsibility. Completing online check-in or airport check-in within the airline’s required time limits is solely the Customer’s responsibility.
Insurance recommendation. We strongly recommend comprehensive travel insurance covering cancellation, missed flights, flight delays and lost luggage.
Payment Rules
- Deposit: at least 40% of the booking value is normally required to secure the reservation. A different percentage may apply to certain packages or services.
- Remaining balance: if the full amount has not been paid by Tour Commencement, Cappadocia Hot Air Balloon may pause, withhold or cancel services until the outstanding payment is received.
- Accepted payment methods: Visa, MasterCard, Western Union and international bank transfer. American Express and Diners Club are not accepted.
- Payment confirmation: after a successful card authorization or confirmed bank transfer, an email receipt is issued.
- Wire-transfer costs: all bank-transfer costs, including intermediary bank fees, must be paid by the Customer. Any underpayment must be settled by the Customer unless otherwise agreed in writing.
- Card service fee: the first deposit payment is not charged an additional card fee; if the remaining balance is paid by credit card, a 10% service fee applies.
Partner Accounts, Commissions and Wallet Withdrawals
Cappadocia Hot Air Balloon may cooperate with approved professional partners, travel agencies, hotels, accommodation providers and comparable tourism businesses for the promotion and sale of its services. Access to any affiliate or commission program is not automatic. Cappadocia Hot Air Balloon may approve, reject, suspend or close an agent or affiliate account at its sole discretion.
Eligibility. Affiliate benefits, wallet balances, commissions and withdrawal rights are limited to approved professional partner accounts. Private customers, ordinary website users, duplicate accounts, self-referrals and accounts connected with misleading, suspicious or abusive activity are not eligible unless Cappadocia Hot Air Balloon confirms eligibility in writing.
Commission entitlement. A commission is provisional when a booking is created. It becomes eligible only after the related booking has been fully paid, confirmed, completed and has not been cancelled, refunded, disputed, charged back or marked invalid. If the booking is amended, cancelled, partially or fully refunded, disputed, charged back, affected by fraud, misused or incorrectly tracked, Cappadocia Hot Air Balloon may reduce, cancel, reverse, withhold or correct the related commission and wallet balance.
Pricing and sales conduct. Agents and affiliate partners must not advertise or sell Cappadocia Hot Air Balloon services below the base price or in a misleading manner. The end traveller remains a Cappadocia Hot Air Balloon client for services operated or arranged through Cappadocia Hot Air Balloon. Services operated directly remain our responsibility, while third-party services remain subject to the supplier rules set out in these Terms and Conditions.
Affiliate wallet use. Approved affiliate wallet balance may be used for eligible tour purchases on the Cappadocia Hot Air Balloon website unless a specific tour, service, campaign or booking condition says otherwise. Cappadocia Hot Air Balloon may limit, refuse or change wallet use for promotional tours, discounted products, third-party services, flights, hotel-only bookings, private arrangements, taxes, fees or special campaigns. Wallet balance cannot be transferred to another person or account and has no cash value except through an approved eligible withdrawal.
Minimum withdrawal amount. The minimum affiliate withdrawal request is €100. Requests below €100 cannot be submitted or processed. The €100 threshold applies to the requested withdrawal amount before bank-transfer fees, intermediary bank charges, payment-provider fees, currency conversion costs or similar transaction expenses. The amount finally received may be lower if banks or payment providers make deductions.
Withdrawal review and payment timing. Every withdrawal request is reviewed and must be approved by Cappadocia Hot Air Balloon. We may request account verification, accurate business details, valid payment information, invoice details, tax documents or any legally required information before approving payment. Once an eligible request has been reviewed and approved, Cappadocia Hot Air Balloon will begin the payment process within 15 business days.
Transfer fees and delays. Bank-transfer fees, intermediary bank costs, payment-provider fees, currency-conversion costs, rejected-transfer charges and similar expenses linked to an affiliate withdrawal may be deducted from the requested amount. These costs depend on the bank, country, currency, payment method and receiving account. After Cappadocia Hot Air Balloon submits the payment instruction, we are not responsible for delays, deductions, intermediary bank fees, incorrect bank details, rejected transfers or extra processing time caused by banks, intermediary banks or payment providers.
Taxes and legal records. Affiliate partners are responsible for their own tax reporting, invoices, accounting records and legal obligations in their country. When required by law, Cappadocia Hot Air Balloon may withhold, deduct, request documents or delay payment until the required information is supplied.
Program changes. Cappadocia Hot Air Balloon may update affiliate rates, eligible products, wallet-use rules, withdrawal rules, campaign terms or the affiliate program at any time. It may also correct technical errors, tracking errors, duplicate commissions or incorrectly credited balances. No partner is guaranteed minimum income, booking volume or commission value.
Cancellation Charges
Please review this section before booking. The cancellation charge depends on the number of days between the date we receive your written cancellation request and the first service date in your booking.
A reservation that includes more than one service, such as tours, hotels, transfers, flights, charters or activities, is treated as one booking unit regardless of the number of passengers. For shared services, cancelling one passenger may be handled as cancellation of the whole booking, and the charges below may apply to every affected passenger.
Unless a stricter or more specific deadline applies, a 25% administrative charge is retained on every cancellation. Non-refundable flights, hotel rates or activity tickets included in the reservation are charged in addition to the percentage below, no matter when the cancellation is made.

Additional cancellation rules
- No-show rule. If the Customer does not arrive at the agreed departure point and has not given prior written notice, 100% of the booking value is charged.
- Restricted hotel rates. Hotels confirmed under non-refundable or restricted rates may remain fully non-refundable even when the general cancellation table allows a partial refund. That non-refundable amount is retained and added to any other cancellation charge.
- Promotional and special-offer tours. Discounted, campaign or promotional tours are strictly non-refundable. Cancellation at any time before departure results in a 100% charge.
- Cancellation method. Cancellation must be requested in writing by email or through our contact form. The effective cancellation date is the date the written request reaches us during office hours.
Changes, Responsibility and Liability Limits
- Changes requested by the Customer: amendments after deposit payment may require additional amendment fees. Changes affecting three or more itinerary days usually carry a €100 fee.
- Substantial amendments: changes affecting five or more days may be handled as a partial or full cancellation and may be subject to the cancellation rules above.
- Supplier costs: third-party costs such as cancellation penalties, non-refundable bookings and airfare differences are passed to the Customer after the available options are explained.
- Personal events: Cappadocia Hot Air Balloon is not liable for cancellations caused by illness, injury, death in the family or other personal emergencies.
- Third-party services: Cappadocia Hot Air Balloon is not liable for damage, loss, delay or injury arising from a third-party service unless it results directly from our own negligence.
- Immigration matters: Cappadocia Hot Air Balloon is not responsible for refusal of entry, detention or border decisions made by authorities. Missed services in such cases are not refunded.
- Turkish law: nothing in these Terms and Conditions removes rights granted by mandatory Turkish consumer-protection law.
- Safety standards: Cappadocia Hot Air Balloon works with licensed operators, qualified guides and transport providers that are expected to meet strong safety standards.
- Emergency assistance: a Turkish/English emergency contact line is available during the Customer’s stay in Türkiye.
- Personal belongings: Cappadocia Hot Air Balloon is not responsible for loss, damage or theft of personal items.
- Shopping stops: regular group tours may include optional visits to artisan shops such as carpet, leather or jewellery stores. Purchases are completely voluntary and Cappadocia Hot Air Balloon is not responsible for them.
Services Included and Not Included
Usually included:
- Ground transport with professional drivers, including fuel, tolls, parking and any traffic fines
- Hotel accommodation with standard buffet breakfast during normal breakfast hours
- One arrival airport transfer and one departure airport transfer
- Entrance fees and guiding services when stated in the itinerary
- VAT and applicable taxes
- Optional artisan-store visits without any obligation to buy
- Tips for guides and drivers, which are optional and customary
Usually not included:
- International flights to and from Türkiye
- Visa charges and visa-processing expenses
- Personal travel insurance
- Lunches, dinners, drinks and snacks unless expressly listed as included
- Minibar, telephone, laundry, room service and other personal hotel charges
- Early breakfast service or packed breakfast for early departures
- Late check-out, subject to availability and extra charge
- Extra airport transfers required for different arrival or departure flights
- Optional activities, including hot-air balloon flights, horseback riding or ATV tours, unless expressly included
- Damage caused by the traveller to hotels, vehicles or other property
- Medical expenses, including clinic visits, hospital treatment and medication
- Flight check-in; Cappadocia Hot Air Balloon does not accept responsibility for flights missed because check-in was not completed correctly or on time
Force Majeure Events
Cappadocia Hot Air Balloon is not responsible for loss, damage, interruption or delay caused by force-majeure events, meaning unusual and unforeseeable circumstances beyond our reasonable control. Such events may include earthquakes, floods, volcanic activity, pandemics, epidemics, terrorism, war, civil unrest, government restrictions, strikes or failures of public utilities. In these situations, we will make reasonable efforts to offer alternatives or refund unused services at our discretion, but no particular result is guaranteed.
Passport, Visa and Entry Documents
The Customer must hold a valid passport with at least six months of validity remaining after the return date. Any visa, transit document or entry permit required for travel is also the Customer’s responsibility. Cappadocia Hot Air Balloon is not liable if entry is refused because travel documents are missing, insufficient or invalid.
Accessibility, Medical and Dietary Requests
Customers with disabilities, reduced mobility or long-term medical conditions must inform Cappadocia Hot Air Balloon before booking. We will review whether the requested arrangements can reasonably and safely be provided, and extra costs may apply. Cappadocia Hot Air Balloon may refuse a service if the Customer’s needs cannot be met in a reasonable or safe way. Dietary needs and allergies must be reported at least 21 days before departure; meals completely free from allergens cannot be guaranteed.
Complaints and Dispute Handling
If the Customer is unhappy with any service, they must inform Cappadocia Hot Air Balloon immediately through their booking agent or the 24/7 emergency contact so that we can attempt to solve the matter during the trip. Non-urgent issues may be reported during office hours. If the matter is not resolved on site, a written complaint must be sent within 28 days after the tour ends. Not reporting the problem during the tour may reduce or remove any right to compensation or remedy.
Privacy and Personal Data
Cappadocia Hot Air Balloon may share personal information with third-party suppliers such as airlines, hotels and tour operators only when this is necessary to provide the booked services. Personal data is stored and transferred using appropriate security measures. Applicable Law and Jurisdiction
Every contract made with Cappadocia Hot Air Balloon is governed by the laws of the Republic of Türkiye. Any dispute connected with these Terms and Conditions falls under the exclusive jurisdiction of the Turkish courts, without affecting any mandatory rights that may apply under the law of the Customer’s place of residence.
